School administrators and office staff who manage people, academics, money, and settings across the entire school. Several screens open into deeper workspaces — those are documented inline below.

Dashboard
/dashboard
Your landing page. A quick pulse of the school — total classes and students, the latest announcements, your classes, and a mini calendar.
How to use it
- Read the top tiles for live counts of Classes and Students.
- Scan Announcements for what's posted school-wide; click View All to manage them.
- Use Take Attendance or the Quick Actions panel to jump into common tasks.
Calendar
/calendar
The school-wide calendar of terms, events, and holidays.
How to use it
- Move between months with the arrows.
- Click a day to see or add events.
- Events here surface on every teacher, parent, and student calendar.
Students
/students
The full student directory — every enrolled student with personal info, grade, SACE number, email, documents, and linked parent. The eye icon on each row opens the complete student profile.
How to use it
- Search by name, email, grade, or parent; filter with the All Students dropdown.
- Add New Student opens the enrolment form (deep dive below).
- The eye icon opens a student's profile; More Actions covers bulk operations and Archived holds withdrawn students.
Profile · Details tab
Clicking the eye icon opens the student profile on the Details tab — legal names, date of birth, gender, birth country, address and contact. “Official” badges mark fields that came from registration/ministry and shouldn't be changed casually.
- Header actions (right): Edit, Reset Password, Transcript, Registration, Archive, and … for more.
- Manage fields shows/hides/reorders the fields on this tab.
- Each section has its own Edit button.
Profile · Family
Parents & guardians, custody, and authorized pickup.
- Each guardian card shows the relationship, a Primary badge, and Authorized Pickup / Notifications flags.
- Send temp password emails that guardian a login.
- Custody holds Legal/Physical flags and admin-only court notes; Authorized Pickup lists who may collect the student.
Profile · Classes
The classes this student is enrolled in.
- Add to Class enrols them in another section.
- Remove a class with the icon on its card.
Profile · Gradebook
This student's grades across every class, with an overall average.
- Filter by term with the dropdown.
- Expand any class row to see its assessment scores.
- “No final grades recorded” simply means the term isn't finalised yet.
Profile · Attendance
This student's attendance history.
- Tiles summarise Present / Absent / Late / Excused.
- The colour-coded calendar marks each day; click a day to see its record.
Profile · Medical
Health & medical notes for the student.
- Empty by default — click to fill in allergies, conditions, and medications.
Profile · Incidents
A behavioural / incident log for the student.
- Log Incident records a new entry.
- Existing incidents list here with dates.
Profile · Documents & Reports
Files on record and published report cards.
- Document Checklist (Manage checklist) defines required documents per grade.
- Upload documents — pdf, image, .doc/.docx, .xls/.xlsx, max 5MB.
- Published report cards appear at the bottom of the tab.
Add New Student
The Add New Student button opens this create form.
- First and Last name, School Assignment (required), Gender, Date of Birth, Grade (required).
- Leave Generate Student Email ticked to auto-create a school email address.
Teachers
/teachers
The staff directory. Manage teacher accounts and the classes each one is assigned to. Rows carry view / edit / archive icons.
How to use it
- Search or scroll to find a teacher; open one to see their classes and details.
- Add a teacher before assigning them to a class — classes need a teacher for gradebook and attendance.
- Add New Teacher opens the create form (deep dive below).
Create New Teacher
Add New Teacher opens this form.
- Name, Phone, School Assignment (required), Gender, Email.
- Generate Secure Password creates a first-login password the teacher can change later.
Classes
/classes
Every class/section in the school. The View button on a class opens a full course workspace where content, people, and settings live.
How to use it
- Browse or search the class list.
- View opens the class workspace (deep dive below).
- Create a class, then assign a teacher and enrol students.
Workspace · Course Home
View on a class opens its workspace on Course Home. Tabs across the top: Course Home, Content, Assessments, My Tools, plus a Student view preview.
- The hero shows the course description and counts (students / assignments / quizzes); Add cover sets a banner.
- Post to the class feed with text, Photo/Video, Event, or File.
- The right rail shows Up next and the weekly Class info schedule.
Workspace · Content
The Content tab is the LMS — units on the left, items on the right.
- Units list down the side (Unit 1–4, Final Exam, Participation, General).
- These units are the same objects as the gradebook's Sections — under a weighted method each carries a % of the grade (see Gradebook deep dive).
- Each item shows a type badge, points, due date and completion; drag the handle to reorder. + Add creates a new unit or item.
Workspace · Assessments menu
The Assessments tab is a menu of three views.
- Assignments, Quizzes, and Grades.
- Grades opens this class's gradebook directly.
Workspace · My Tools menu
My Tools holds class management actions.
- Students, Teachers, Units, Resources.
- Class settings, Edit class, Duplicate class.
- Delete class (destructive) sits at the bottom.
Gradebook
/gradebook
View and manage grades for any class and term. New Assessment adds columns, Create Section groups them, and the header shows the active calculation method. How the final grade is worked out is chosen per class — see the deep dive below.
How to use it
- Pick the class and term from the dropdowns.
- New Assessment adds a graded item; Create Section groups items into weighted buckets.
- The “Calculation” label shows the active method; it's set per class in My Tools → Class settings → Grading.
Grade calculation method — where it's set My Tools → Class settings
This is the toggle. Open the class → My Tools → Class settings → Grading. Choose how this class's final grade is calculated — it's set per class, and there are three options.
- Points — every item counts by its raw points; a simple points total (a 100-pt exam outweighs a 10-pt quiz).
- Unit weights — each unit/section carries a % of the grade; items inside share their unit's weight.
- Weighted categories — weight by type: e.g. Homework 15%, Tests 50%, averaged equally within each type.
Sections & Units (the weight buckets) My Tools → Units
Under either weighted method, assessments are grouped into Sections — also called Units (Homework, Tests, Final Exam…). Each shows its share of the grade. Manage them here, or with Create Section in the gradebook.
- Each card shows the section's weight, e.g. Unit 1 = 15% of grade, Final Exam = 25%.
- Drag to reorder; the ⋮ menu on a card has Edit and Delete.
- Across the class, section weights should add up to 100%.
Create a section / unit
Create Section starts from a preset. (The modal is titled “Create New Unit” — sections and units are the same object.)
- Pick a preset: Unit, Quarter, Homework, Test, Midterm, Final, Project, or Other.
- Presets just pre-fill a name and icon; you customise the rest next.
Set the section's weight & internal grading
Name the section, give it a colour, and set how much it's worth.
- Section Weight % — the share of the final grade this bucket is worth (0 = doesn't count). E.g. Homework = 15.
- How items inside are graded: Split equally (every item counts the same) or Set weights myself (per-item %, totalling 100% within the section).
- An assessment joins a section via the “Counts as” / section field in the assessment builder.
Manage Weights (must total 100%)
The gradebook's ⋮ → Manage Weights panel reviews every weight for the term.
- See each weight and the running Total for the term.
- A banner flags when you're under or over the 100% target.
- Reset reverts; Save Changes applies.
New Assessment · choose type
New Assessment first asks what kind of assessment it is.
- Pick from Exam, Project, Activity, Participation, Homework, Classwork, Quiz, or Other.
New Assessment · build it
Then you fill in the assessment itself.
- Class, Title, Description, Total Points, Weight %, and “Counts as” (which section it belongs to).
- The Rubric (Optional) tab attaches a marking rubric.
- Create Assessment adds it to the gradebook; Change Type if you picked wrong.
Attendance
/attendance
Take and review attendance for any class. (The full marking workflow is documented under Teacher → Attendance.)
How to use it
- Choose the class and date.
- Mark each student Present, Absent, or Late.
- Save — records roll up into student profiles and reports.
Report Cards
/report-card
A full report-card workspace: review each student's card, generate comments with AI, keep a reusable comment bank, and publish per-student or all at once.
How to use it
- Header shows the term's publish status; Publish All / Unpublish All act on everyone.
- Three tabs — Detailed Report, Generate, Comment Bank (deep dive below).
- Back to Assessments returns to the gradebook; Export PDF downloads.
Detailed Report
The default tab lists every student's report card with a Draft/Published status.
- Filter or search the student list on the left; switch between list and table view.
- Publish All / Unpublish All release or retract every card for the term at once.
A student's card
Selecting a student renders their actual report card.
- Shows the school header, term, and course-grade table.
- Publish for Parents & Students releases just this one student's card.
- Export PDF downloads a printable copy.
Generate (AI)
The Generate tab drafts personalised report-card comments using AI.
- Pick a class and term to begin.
- It writes a comment per student for you to review and edit before publishing.
Comment Bank
Reusable comments you write once per class.
- Write generic comments for a class.
- At report-card time, entering a grade auto-fills the matching comment with the student's name and pronouns swapped in.
Payments & Finance
/portal
The billing portal — a full finance workspace for tuition and fees, separate from the academic side.
How to use it
- The dashboard summarises Outstanding A/R, Past Due, failed payments, and net revenue.
- Left menu: Transactions, Direct Charge, Deposits, Families, Tuition Plans, Auto-Pay, Monthly Statements.
- Reconcile deposits and follow up on families needing attention from here.
Announcements
/announcements
A school-wide feed for announcements, with a composer and reactions.
How to use it
- Write in the composer and attach media, an event, or a file.
- Target the right audience; posts appear on that audience's dashboards.

Feed & composer
Announcements is a school feed rather than a plain list.
- Write in the composer and attach Photo/Video, Event, or File.
- Filter the feed; individual posts support Like and Comment.
Settings
/settings
The control room for the whole school — tabs for setup, academics, users, roles, payments, and integrations.
How to use it
- Setup tracks the five must-configure items (grade scale, school year, terms, teachers, classes).
- Terms and School Year define the academic calendar grades and report cards key off.
- Users and Roles control access (deep dive below); API Keys holds integration credentials.

Manage everyone who can log in.
- Search, or Add New User.
- Change a person's Role inline and toggle their active Status.
- Row actions: edit, reset password, disable, Permissions (per-user overrides), delete. Import/Export bulk-loads users.
Settings · Roles & Permissions ?tab=roles
Set what each role can do by default, and build custom roles.
- Edit Teacher / Admin / Finance Admin defaults, or create Custom roles (e.g. Registrar).
- Toggle granular permissions grouped by area (Communication, etc.).
- Save applies to everyone with that role; per-user overrides live on the user list.

Choose the active year and open registration windows.
- The active year is what everyone sees by default; switch to view a past year or build next year.
- Registration windows open re-enrolment per school with start/close dates; late submissions can waitlist.
